Terms & Conditions
These Terms govern your access to and use of EduCore India's School ERP, College Management Software, mobile applications, and online payment services. Please read them carefully before use.
By accessing EduCore India software, mobile applications, or services — including by clicking "I Agree," onboarding your institution, or making a payment — you accept these Terms on behalf of yourself and your institution.
1. Parties to This Agreement
"EduCore India" refers to the School ERP and College Management Software product developed and operated by IvanDigitalSolutions, a technology company registered in Pune, Maharashtra, India.
"Client / Institution" refers to the school, junior college, degree college, or coaching institute that has subscribed to or uses EduCore India's services.
"End Users" refers to administrators, teachers, staff, parents, and students who access EduCore India under the Client's subscription.
2. Description of Services
EduCore India provides a comprehensive cloud-based Education Management Platform comprising:
Core ERP Modules
- Student Information System (SIS): Admissions, enrollment, academic records, and student lifecycle management
- Academic Management: Timetable scheduling, subject/class allocation, academic calendar
- Attendance Management: Daily, period-wise and staff attendance tracking with SMS/app alerts
- Examination & Results: Exam scheduling, marks entry, report card generation, and result publishing
- Fee & Finance Management: Fee structure setup, offline and online fee collection, receipts, ledgers, and defaulter tracking
- Library Management: Book cataloging, issue/return tracking, and fine management
- Transport Management: Route planning, vehicle tracking, and transport fee assignment
- Human Resource Management: Staff records, payroll, leave management, and appraisal
- Hostel Management: Room allocation, occupancy records, and mess management
- Communication Module: SMS, email, push notifications, and circular management
- Admission CRM: Enquiry capture, follow-up pipeline, and conversion tracking
Mobile Applications
- Parent App: Real-time attendance, results, fees, circulars, and teacher communication
- Student App: Academic planner, homework, results, and fee payment
- Staff App: Attendance marking, leave requests, and notice board
Payment Services
- Online fee collection via UPI, Net Banking, Credit/Debit Card, Wallets (powered by Razorpay / payment gateway partners)
- Offline fee recording, receipt generation, and cashbook management
3. Eligibility & Account Registration
To use EduCore India:
- The Client must be a legally recognised educational institution, trust, society, or company operating in India
- The authorised signatory or administrator must be at least 18 years of age and legally authorised to bind the institution
- All information provided during registration must be accurate, current, and complete
- Each institution is permitted one primary admin account; sub-accounts may be created for staff as per the subscription plan
EduCore India reserves the right to suspend or refuse service to any entity that provides false information or does not meet eligibility criteria.
4. Subscription, Pricing & Billing
Subscription Plans
EduCore India offers Annual Subscription Plans priced per module or as bundled packages, based on student strength. Pricing is communicated during the sales process and confirmed in the signed Purchase Order or Subscription Agreement.
Annual Renewal
Subscriptions renew annually. Renewal invoices are raised 30 days before expiry. Failure to renew may result in data being placed in a read-only archive mode for up to 90 days before deletion.
Payment Terms
- Payments are due within 15 days of invoice unless otherwise agreed in writing
- Accepted modes: NEFT/RTGS, UPI, Cheque, and online payment link
- GST at applicable rates (18%) is charged separately on all invoices
- Late payments attract interest at 1.5% per month
Price Revisions
EduCore India may revise pricing at renewal with 30 days' written notice. Continuing renewal after notice implies acceptance of revised pricing.
5. Online Fee Collection — Payment Gateway Terms
When parents/students pay fees online through EduCore India:
- Payments are processed by authorised payment gateway partners (e.g., Razorpay). EduCore India does not store card numbers or net-banking credentials
- Transaction fees charged by the payment gateway are borne as per the agreement with the institution
- EduCore India acts as a technology intermediary; the institution remains responsible for reconciliation and accounting
- Failed transactions are auto-reversed by the payment gateway within 5–7 business days; EduCore India is not liable for delays attributable to banks
- All online transactions are secured with SSL/TLS encryption and comply with PCI DSS standards
6. Data Ownership & Responsibilities
Institution Data: All student records, academic data, fee records, and documents uploaded by the institution remain the exclusive property of the institution ("Client Data"). EduCore India processes this data solely as a data processor on the Client's instructions.
Client Responsibilities:
- Obtain valid consent from parents/guardians before entering student personal data into the system
- Ensure data entered is accurate and does not violate any third-party rights
- Maintain confidentiality of admin login credentials and prevent unauthorised access
- Inform EduCore India promptly in case of any suspected data breach or unauthorised access
7. Acceptable Use Policy
Users shall not:
- Use the platform for any unlawful purpose or in violation of Indian laws
- Upload or transmit defamatory, obscene, or harmful content
- Attempt to reverse-engineer, decompile, or copy the software
- Use automated bots, scrapers, or scripts to extract data
- Share login credentials with unauthorised third parties
- Send unsolicited bulk communications through the notification module
- Impersonate any person, institution, or entity
Violation of this policy may result in immediate account suspension without refund.
8. Intellectual Property
EduCore India, all associated logos, product names, software code, user interfaces, and documentation are the exclusive intellectual property of IvanDigitalSolutions and are protected under the Copyright Act, 1957 and applicable Indian IP laws.
The Client is granted a non-exclusive, non-transferable, revocable license to use the software solely for internal institutional management purposes during the active subscription period.
No rights are granted to the Client to sublicense, resell, or redistribute the software.
9. Confidentiality
Both parties agree to maintain the confidentiality of any proprietary or sensitive information shared during the course of the agreement. This obligation survives termination of the subscription for a period of 3 years.
10. Service Availability & SLA
EduCore India targets a monthly uptime of 99.5% (excluding planned maintenance windows). Planned maintenance is scheduled during off-peak hours (typically 11 PM–5 AM IST) with advance notice via email/SMS.
In the event of service disruption, EduCore India's sole obligation is to restore service. No financial credits or compensation are provided for downtime unless explicitly agreed in a signed SLA addendum.
11. Limitation of Liability
To the maximum extent permitted by applicable law:
- EduCore India's aggregate liability to any Client shall not exceed the total fees paid by that Client in the 3 months preceding the claim
- EduCore India is not liable for indirect, consequential, incidental, or punitive damages, including loss of academic records due to Client-side data corruption
- EduCore India is not liable for payment gateway failures, bank delays, or network outages beyond its control
12. Indemnification
The Client agrees to indemnify and hold harmless EduCore India, IvanDigitalSolutions, its directors, employees, and agents from any claim, liability, loss, or expense (including legal fees) arising from:
- The Client's breach of these Terms
- Misuse of the platform by the Client's users
- Violation of any applicable law by the Client
- Third-party claims arising from the Client's data or content
13. Term & Termination
These Terms are effective from the date of subscription and continue until the subscription expires or is terminated.
Termination by Client: The Client may terminate the subscription at the end of the billing cycle by providing 30 days' written notice. No pro-rata refunds are provided for unused periods.
Termination by EduCore India: EduCore India may terminate access immediately upon breach of these Terms, non-payment, or actions that pose a security risk to the platform.
Post-Termination Data: Upon termination, Client Data is retained for 90 days in a read-only archive. During this window, the Client may request a data export. After 90 days, data is permanently deleted.
14. Governing Law & Dispute Resolution
These Terms are governed by the laws of India. Any disputes shall first be attempted to be resolved through mutual negotiation within 30 days. If unresolved, disputes shall be subject to the exclusive jurisdiction of the courts in Pune, Maharashtra, India.
15. Amendments
EduCore India reserves the right to update these Terms at any time. Material changes will be communicated via email and in-app notification at least 14 days before taking effect. Continued use after the effective date constitutes acceptance.
